Vending Machine Income and Startup Costs: One Machine Before a Route

Place the first machine only after a location agrees to keep it. Then track what that lobby actually buys.

Decision summary

  1. Fox021 lists “how to start a vending machine business” at 5,400 U.S. searches a month and “vending business plan” at 3,600, dated 15 October 2026. That page.
  2. On CitysVending’s catalog snapshot of November 5, 2026, new machines run from $2,474 to $13,150, median $5,695, plus $150 freight per order. Catalog note.
  3. Census County Business Patterns 2023, NAICS 454210, counts 3,227 establishments and 40,901 employees. cbp23us.zip, read November 6, 2026. That is payroll locations.
  4. Food-machine health rules, sales tax, and a city permit are local. Ask the city that will host the machine.

0. Before the first machine

  • Name the building, the hours, and who signs the placement.
  • Ask what commission or rent they want even in a slow month.
  • Decide snack, drink, or something else. The catalog medians differ by type.
  • Skip any pitch that sells a route as income without work.

How many employer locations

Of the 3,227 establishments, 2,113 have fewer than 5 employees. That works out to 65.5% (2,113 ÷ 3,227).

Insureon’s vending-operator page, updated February 19, 2025 and read November 6, 2026, shows a general-liability sample of $37 a month ($442 a year) at $1 million per occurrence and $2 million aggregate, with a $500 deductible. The page’s method uses the median of policies its customers bought. Insureon vending costs.

First stock, a card reader, sales tax, and insurance are not in the catalog table. Type them in the planner. Leaving them blank does not mean they are zero.

One-machine payback planner

Type the machine, the sales, and the commission. If the month does not cover product, commission, and fixed cost, payback stays hidden.

Enter the machine, the price, and the daily sales.

1. First location

Track items sold per day for a month before you buy machine two. A national search count will not tell you if this lobby buys anything. If the month’s contribution is not positive, the planner will not invent a payback date.

10. A route

Section 10 means more than one placement that already pays for its service visit. It does not mean buying a route on day one. Add a machine when the first location’s sales cover product, commission, and the trip.

How much do vending machines make

Two public samples describe different businesses. Do not average them into one “typical machine.”The Hustle surveyed 23 operators and reported that the average operator in that sample owned 13 machines grossing $309 per machine per month. Self-reported gross sales in the sample ran from $75 to $650 per machine per month. The article says the survey is not a census of the industry.

The same article quotes two operators’ own machines. Everett Brown reported one machine at $25 every two weeks and another at $600. Jaime Ibanez’s hotel location earned $2,800 a month; a weak location sometimes saw $200. Those are single locations, not tiers you can paste onto a lobby you have not counted.

NAMA’s convenience-services census, prepared with Technomic, lists 2023 forecast average sales of $6,284 per vending machine per year. That works out to about $524 a month ($6,284 ÷ 12, rounded to the nearest dollar). The same table describes a typical operator as running 277 machines. The 2023 column is marked as a forecast in that PDF.

The Hustle’s placement section says locations often take 10% to 25% of gross sales. Its cost list later says commissions of 5% to 25% of revenue, and that about half of revenue goes to the product in the machines. Type the monthly sales you have actually counted, and the commission you signed, into the payback planner.

Licenses and insurance

Sales tax and health rules for a food machine are set where the machine sits. This report does not include a 50-state permit table. Open the state revenue department and the city health department before you place a machine that sells food.

Two insurance samples, kept separate. Insureon’s vending page, updated February 19, 2025, shows general liability at $37 a month ($442 a year), $1 million per occurrence and $2 million aggregate, $500 deductible, described as the median of policies its customers bought. The Hustle’s operator interviews mention about $500 a year for general liability when annual sales are under $100,000. Get a quote for your city and your products.

First 90 days

  • Days 1–14: name one building, the hours, and who signs. Ask what commission they want in a slow month.
  • Days 15–45: get a written machine price. The catalog median of $5,695 is one seller on November 5, 2026, plus $150 freight per order.
  • Days 46–90: count items sold. Buy a second machine only after this location’s sales cover product, commission, and the service trip.

When to stop

Stop adding machines when a location’s month does not cover the product, the commission, and the trip. The planner leaves payback blank in that case. A hotel figure from someone else’s route is not a reason to buy the next machine.

Questions people ask

How much does one vending machine make in a month?

The Hustle surveyed 23 operators and reported an average of $309 in gross sales per machine per month, with that sample running from $75 to $650. NAMA’s census, prepared with Technomic, lists 2023 forecast average sales of $6,284 per machine per year, which is $6,284 ÷ 12, about $524 a month. Those are different groups. The NAMA figure describes a typical operator running 277 machines.

How much does location change the monthly sales?

In The Hustle’s interviews, one operator’s hotel location earned $2,800 a month and a weak location sometimes $200. Another operator reported one machine at $25 every two weeks and another at $600. Count the lobby you actually have, then type that monthly sales figure into the payback planner.

What does a new machine cost?

CitysVending’s catalog snapshot of November 5, 2026 shows new machines from $2,474 to $13,150, with a median of $5,695, plus $150 freight per order. That is one seller’s list, not a market average. Get a written quote for the model you will buy.

What do locations charge to let a machine sit there?

The Hustle’s placement section says owners often pay the location 10% to 25% of gross sales. Its later cost list says commissions of 5% to 25% of revenue. Ask for the slow-month number in writing before you buy the machine.

How much is vending general liability?

Insureon’s vending page, updated February 19, 2025, shows a customer median of $37 a month ($442 a year) for general liability at $1 million / $2 million with a $500 deductible. The Hustle’s operator interviews separately mention about $500 a year for general liability when annual sales are under $100,000. Use them as two samples, then get your own quote.

Do I need a vending license?

Sales tax and health rules for food machines are set by the state and the city. This report does not contain a 50-state permit table. Open the revenue department and the health department for the city where the machine will sit.

Is the Census count the number of machines?

No. County Business Patterns 2023, NAICS 454210, counts 3,227 employer establishments and 40,901 employees. Of those establishments, 2,113 have fewer than 5 employees (2,113 ÷ 3,227, which is 65.5%). Operators with no payroll are in a different Census file.

When should I buy a second machine?

After the first location’s sales cover the product, the location’s commission, and the trip to service it. If that month’s contribution is not positive, the planner does not print a payback date.
